The Race Director is responsible for the overall execution and success of the Calgary Kids of Steel Triathlon. This role oversees all event operations — from course layout and safety planning to communications with Triathlon Alberta, local authorities, and sponsors. The Race Director approves final race-day logistics, ensures insurance and sanctioning compliance, and leads coordination across all committees and volunteer teams.

The Assistant Race Director supports the Race Director by managing on-the-ground logistics and volunteer operations for the Calgary Kids of Steel Triathlon. This role ensures each area — transition setup, registration, course marshals, and timing — runs smoothly. The Assistant Race Director is the main point of contact for volunteer captains and is actively present during setup, race execution, and teardown.

Key Responsibilities:

Liaise with Triathlon Alberta, venue partners, and emergency services.
Ensure compliance with all safety, sanctioning, and insurance requirements.
Supervise Assistant Race Director, Volunteer Coordinator, and course leads.
Serve as the primary contact on race day for any escalations or emergencies.

Responsible for coordinating all event setup and teardown activities before and after the race. Works closely with the Transition, Swim, Bike, and Run Captains to assign members of the Event Setup Crew and Tear Down Crew where needed, ensuring each area is properly supported. Oversees installation and removal of tents, fencing, signage, and equipment to ensure a smooth, safe, and efficient event build and cleanup.

Responsible for recruiting, organizing, and communicating with volunteers for the assigned event. Works with club members and community partners to fill all volunteer positions and ensure clear communication of shift details and expectations. During the event, manages the check-in and check-out lists for all volunteers — including setup, race day, and teardown crews — to ensure accurate tracking, accountability, and volunteer recognition.

Oversees all safety procedures during the event, coordinating with medical staff, course captains, and emergency responders to ensure athlete and spectator safety.

Leads the registration area, ensuring smooth athlete check-in, accurate distribution of race materials, and coordination with timing and waiver staff.

Support the registration captain by welcoming athletes, confirming entries, distributing race kits, and answering basic event questions. Will also be assisting with race day check-in for late package pickup and body marking.

Responsible for planning and overseeing the transition area setup, including bike in/out, run in/out, and swim out configurations. Ensures proper signage, safety, and athlete flow before and during the race, coordinating with the Setup/Tear Down Captain to ensure adequate support for setup and cleanup. Works closely with the Swim, Bike, and Run Captains to align course connections and maintain a secure, efficient transition zone throughout the event.

Assist athletes in the transition zone, monitor traffic flow, and help maintain order and safety during race transitions.

Responsible for coordinating all event setup and teardown activities before and after the race. This includes renting and managing the transport truck used to haul bike racks and event equipment to and from the pickup location. Works closely with the Transition, Swim, Bike, and Run Captains to assign and direct members of the Event Setup Crew and Tear Down Crew, ensuring each area receives proper support. Oversees the installation and removal of tents, fencing, signage, and equipment to ensure a smooth, safe, and efficient event build and cleanup.

Help assemble bike racks, setting up or staging pylons, tents, tables, signage, fencing, and course infrastructure before race start under the direction of the Setup and/or Area Captains.

Assist with post-event cleanup and equipment teardown, ensuring all race materials are collected and the venue is restored.

Ensures the pool and pool area is configured safely and correctly. Leads the swim course team, coordinates with pool staff, and ensures athletes complete the correct number of laps safely and efficiently.

Track athlete lap counts, provide verbal updates to swimmers, and alert the captain of any issues during the swim portion.

Oversees all aspects of the bike course, including volunteer placement, signage, and safety monitoring at key intersections.

Monitor intersections and guide cyclists along the route, ensuring athlete safety and clear directional flow.

Manages the run course layout, volunteer coordination, and safety to ensure athletes stay on course and receive proper support.

Direct runners along the route, provide encouragement, and assist with crowd and course management.

Supervises the finish line area, coordinating timing, hydration, medals, and athlete flow through the chute.

Hand out medals and water, assist tired athletes, and help maintain order and safety at the finish area.

Assist with pre-race day package pickup by checking athlete names, distributing race kits, and providing event details.

Oversees electronic timing operations with Zone 4, ensuring accurate race start times, split data, and final results reporting.

Support the timing captain by setting up timing points the day before and the day off the race, monitoring chip check-in, verifying finish data, and assisting with posting results. Will assist with timing point tear down.
